Connect your mailbox to the email channel
Connecting takes two steps that are easily mistaken for one. First you sign in to your mailbox, then you point this channel at that mailbox. Only after the second step does the channel move from Not connected to Live.
Open the channel
Go to Agent, then Channels, and click Email.
Click Connect account
A new window opens where you choose Google, Outlook or IMAP. You sign in there and grant access.
Choose the mailbox for this channel
Back in Heyloha you see the block Choose the mailbox for this channel. Select the mailbox you just connected. If it is not listed yet, refresh the page.
Check the address at the top
Above the tabs you now see the address of the connected mailbox, with the line: reads mail and writes drafts (you send them).
Take the channel live
The switch at the top turns the channel on and off. Live means the agent picks up new messages.
The address the agent listens on comes from the connection itself, you do not type it. That way the agent can never watch a different address than the one you connected.
One mailbox per channel
A channel has one mailbox, and a connected mailbox can belong to only one agent. If you want a second address answered, sales@ next to info@ for example, that needs its own brand with its own email channel.
A mailbox without Google or Microsoft
If your mailbox has no Google or Microsoft sign-in screen, for instance your own mail server, your hosting provider or on-premise Exchange, choose IMAP. You then enter server, username and password on the sign-in screen. Automatic labeling only works with Gmail and Outlook.
Pausing or disconnecting
To put the agent on hold, switch the toggle at the top off. Your settings stay, the connection stays, and one click brings the channel back.
If you click Disconnect, new emails are no longer picked up. Existing conversations stay readable and your settings are preserved, so you can reconnect later. To delete existing conversations, contact Heyloha.
