Forms inside the chat

Sometimes you need several pieces of information from a visitor: name, email, phone, postcode, house number. Asking field by field works, but visitors often drop off mid-flow. With forms inside the chat, the AI agent renders a compact form in the conversation and the visitor fills it all in at once.


When a form beats separate questions

Rule of thumb: if you need two or more fields at once, a form almost always works better than a chain of separate questions. If you only need one field, the agent should just ask for it.

  • One field needed (for example 'What is your email?'): let the agent ask directly.
  • Two or more fields needed (lead capture, callback request, valuation request): let the agent render a form.

Examples by industry

  • Real estate: valuation request with name, email, phone, postcode and house number in one form.
  • Mortgage advice: enquiry form with purpose (first home, moving or refinancing) and preferred call-back time.
  • B2B services: lead form with company name, contact, email and topic of interest.
  • E-commerce and support: RMA form with order number, return reason and email.

What the visitor sees

The form appears directly in the chat window, in your branding. No redirect to a separate page, no pop-up. The visitor fills in the fields and clicks send. The agent confirms in the chat that the data has come through and continues with the next step, like booking an appointment or sending a confirmation email.


Turning forms on or off

Open your AI agent settings

In the Heyloha dashboard, open your AI agent and click the gear icon.

Open Functionalities

Click the Functionalities tab in the side menu.

Toggle Forms in chat on or off

Turn the toggle on to let the agent decide when to render a form. Turn it off to always work field by field.


Clean fields straight into your CRM

Form data is processed in the same way as separate answers in a conversation. Through your webhook integration, or a direct HubSpot or ActiveCampaign connection, the lead record lands in your CRM right away. Required fields in the form keep the data clean: no typos in email addresses, no missing phone numbers.

Avoid long forms. Four to six fields works best. Above six fields you start to see drop-off climb.
